We are seeking a highly organized and detail-oriented Support Function Specialist to join our team on a 6-month contract with the possibility of transitioning to a permanent role. The ideal candidate will have the agility to switch between tasks efficiently and possess excellent written and spoken English skills. Previous experience in the legal and financial sectors is advantageous.
Key Responsibilities
Task and Ticket Management: Regularly manage the Investor Display Task and Ticket system, staying updated with notifications and investor queries.
- Communication: Pre-authorize all communication before engaging with agents and investors, ensuring consistent messaging aligned with legal documents and company policies.
- Email Management: Handle all communications through the support email account, responding promptly and appropriately.
- Documentation: Maintain a clear and organized filing system for all program-related documentation, ensuring easy access and chronological order.
- Reporting: Set up and participate in daily calls with the Project Transition team, updating the dashboard with any communications for monitoring.
- Ad Hoc Tasks: Perform additional tasks as directed by the Project Transition team to support the company’s objectives.
Specific Metrics
- Response Time: Ensure all investor queries and task tickets are responded to within a 12-hour timeframe.
- Email Management: Achieve 100% accuracy in managing and responding to support emails, ensuring all communications are pre-authorized and appropriately handled.
- Documentation Organization: Maintain a 100% clear and indexed filing system for all program documentation, ensuring all files are titled and dated correctly.
- Daily Reporting: Consistently participate in and report during daily calls, providing accurate updates to the Project Transition team without fail.
Whilst the role is remote, ideally we would like someone from Melbourne so the Melbourne team can catch up in person during the week when required.
